29th Annual SoCal Alzheimer’s Disease Research Conference Exhibitor Information
Thank you for your sponsorship for the 29th Annual Southern California Alzheimer’s Disease Research Conference in Irvine. We’ve created this handy Exhibitor Packet to help you get ready for the conference. Please take a moment to review.
This event is hosted by the UC Irvine Institute for Memory Impairments and Neurological Disorders (UCI MIND) in partnership with Alzheimer’s Orange County (AOC). Reaching a diverse audience of over 400 healthcare professionals, aging service providers, family caregivers, students, and researchers, the conference brings together internationally renowned experts to address our nation’s progress in the battle against Alzheimer’s disease and other causes of dementia.

Set up Time on Thursday, September 20: 5:00 p.m. to 7:00 p.m.
Set up Time on Friday, September 21: 6:00 a.m. to 7:00 a.m.
You must check in at Exhibitor Registration and complete set up by 7:00 a.m. If you are receiving CEUs, you must also check in at Professional Registration before 8:30AM.
Break Down: 4:00 p.m.*
*Break down will not be allowed during presentations.
Wi-Fi:
Wi-Fi access will not be provided during this conference. However, individuals may purchase Wi-Fi access directly through the hotel for a fee. Complimentary Wi-Fi is available in the hotel lobby. Please contact the Irvine Marriott at 949-553-0100 for more information.
Electricity:
If you will be requiring electricity for your booth, you must request access and receive approval in advance. If you anticipate needing electrical equipment, please provide your own or request it through the Irvine Marriott no fewer than 7 days prior to the conference. You must do so by submitting the attached form below by Friday, September 14 to the hotel.
Booth Assignment:
You will be provided with booth location upon arrival. Altering or switching your table location is not permitted. Exhibitors may not affix anything to the walls, doors, floors or columns of the exhibit hall.
Booth Specifications:
2 chairs will be provided at each 6’ table. Refer to the level you selected to see whether you will share 1/2 table, have 1 full table, or 2 full tables.
Materials:
Bring enough to accommodate approximately 400 attendees.
Shipping and Receiving:
To ensure important packages are held properly, the hotel suggests that you ship them no more than three (3) days prior to your scheduled functions. Please have all packages clearly labeled as follows:

Following these simple guidelines will help the hotel to direct your packages to the proper area. UCI MIND, AOC, and the facility do not assume responsibility for damage to, loss of, or theft of property.

Thursday 9/20 Parking:
For material drop-off the evening before the conference, we recommend pulling into the valet area and letting the hotel staff know you wish to come in briefly to drop off materials. Otherwise, you will be responsible for parking cost. Parking under 30 minutes in the hotel lot is free. Should you wish to purchase your parking pass on Thursday, please bring your ticket inside to a conference staff member to receive a sticker for discounted $12 parking.
Friday 9/21 Parking:
Your exhibitor registration includes a one-time validation for hotel self-parking (not valet) per representative on Friday. Please bring your ticket inside to Registration for your validation sticker.
You must ensure your conference representative(s) and other information has been entered completely and accurately, as they should appear in materials. Final names and other information must be submitted by Monday, September 17, 2018. To do so, review the PDF of your online form sent previously.
A single representative spot cannot be split between two representatives.
